1. Who is responsible
4-Sight is a website and product owned and operated by E-Smart Solutions Limited, company number 03758209, VAT number 757 8215 00. Our company address is Maghull Business Centre, 1 Liverpool Road North, Maghull, Merseyside, L31 2HB. E-Smart Solutions Limited is the controller of personal information used to run this website and its partner portal. Contact recalls@esmart.co.uk (please put “4-Sight” in the subject), or write to the company address.
2. Scope
This notice covers the marketing website, accountant registrations, firm branding and website referral records. The separate application at app.4-sight.com provides Xero connections, financial analysis and billing. Information about that application’s processing is provided through the application and any applicable service agreements. Visiting this website does not connect your Xero account.
3. Information the website handles
- Account details you provide directly: your email address, name and a securely hashed password, plus email-verification and password-reset records. Passwords are never stored in readable form.
- Partner profile details: your name, accountancy firm, uploaded logo, referral code, registration date and account status.
- Legacy referral registrations: the registering person’s name, company, email address, introducing firm and registration date.
- Owner administration records, including the administrator identifier, partner account changes, recorded reasons and dates.
- Messages you send us and technical records used by our hosting provider to deliver and protect the website, such as request and device information.
Required fields are identified in the forms. Without them we cannot create the relevant registration. Please do not upload sensitive personal information or client financial records to the logo or registration forms.
4. Purposes and lawful bases
We use registration and contact details to provide requested account functions and respond to enquiries. We rely on taking steps towards or performing a contract where the contract is with you; for business representatives and referral administration we rely on our legitimate interests in managing business relationships. Security checks, access control and audit records support our legitimate interests in protecting users and our service. Where records must be kept or disclosed by law, we rely on that legal obligation. If we introduce optional marketing or non-essential storage that requires consent, we will request it separately. Registering a firm is not consent to unrelated marketing.
5. Referrals and access
A referral code may be carried in the page URL and passed to the app when you follow a link. The website does not save referral codes in cookies or browser storage. URLs can be retained in browser history and server records. Partner invitation pages can display the introducing firm’s name and logo. When someone chooses to complete the legacy referral form, the introducing firm can see their business name and registration date; their contact details are available to authorised website administrators. Website administrators can manage partner and referral records. A referral never gives an accountant access to Xero records or financial data.
6. Providers and disclosures
This PHP website is hosted on Namesco infrastructure. Account and referral records are stored in the hosting database, and logos are stored in protected hosting storage. Our hosting and email providers process information needed to deliver the website, account verification, password resets and correspondence. This website no longer uses ChatGPT sign-in. We may share relevant information with professional advisers or authorities where necessary to meet legal duties or protect legitimate rights. We do not sell personal information. The marketing website does not load analytics, advertising pixels, embedded videos or remote font services.
When you request a demo, we send your name, company, email address, accounting software, enquiry and any referral code to our Zoho CRM to review and respond to your request. This does not book an appointment or subscribe you to unrelated marketing.
7. International processing
Our service providers may process information outside the UK. Where restricted transfers occur, applicable UK transfer requirements and appropriate safeguards must be met, including recognised adequacy arrangements or approved contractual safeguards where required. Contact us for information about safeguards relevant to your data. We do not promise that every provider stores information only in the UK.
8. Retention and protection
We keep profile and referral information while needed to operate the account, administer introductions and resolve related queries. Audit and correspondence records are retained only while needed for security, disputes or applicable legal obligations. We assess retention using the relationship’s status, unresolved issues and relevant obligations; we do not retain information indefinitely simply because a form was submitted. You can request account closure or deletion. Backups and provider logs follow their own retention cycles, and some records may need to remain where the law permits or requires it. HTTPS, password hashing, email verification and account access controls help protect information. Login and registration rate-limit records contain keyed hashes of addresses or connection identifiers and expire after their security window. Email-verification links expire after 24 hours and password-reset links after one hour. Signed-in sessions expire after 30 minutes of inactivity or 12 hours overall.
9. Your choices and rights
Depending on the circumstances, you can ask to access, correct, erase, restrict or obtain a portable copy of your information, or object to processing based on legitimate interests. You can withdraw consent where processing relies on it. We may need to verify your identity and will respond within the applicable legal time limit. The website makes no solely automated decisions that have legal or similarly significant effects on you. Contact recalls@esmart.co.uk (please put “4-Sight” in the subject). You may also complain to the Information Commissioner’s Office.
10. Changes
We will revise this notice when the website’s processing changes and update the date above. Material new uses of information will be explained as required. See our cookie policy for storage and font details.
